Pay your subs without inheriting their problems.

A subcontractor working without their paperwork in order is a bill you cannot safely pay. Not because the work is bad, but because paying it can leave you answering for someone else's injury, someone else's tax, or someone else's unlicensed work. Your Subcontractor Compliance employee is the gate in front of that payment.

It collects the documents before the first job, not before the first invoice. Tax form, insurance certificate, licence, signed agreement. Asked for once, completely, and from the right party: the certificate is requested from the broker, because asking the subcontractor for it adds a week.

It reads the certificate rather than filing it. Is the named insured the entity you actually contracted with, are the limits at least what your contract requires, is your company named as an additional insured where it should be, are the dates current. A certificate that arrived is not a certificate that covers you.

Licences are checked at the source. A copy the subcontractor sent proves a licence existed once. The issuing authority tells you whether it exists now and covers this work.

Your payables employee never has to ask a person. It asks this seat and gets one answer: clear to pay, or held, with the document named, what is wrong with it, who can fix it, and the amount at stake. The subcontractor gets the same message, because they usually do not know their certificate lapsed and telling them is the fastest route to being paid.

A lapse while someone is on site is treated as what it is. Not a paperwork item for the weekly report: an exposure growing by the hour, raised to you and to whoever runs the work that morning.

Once a quarter it assembles the classification facts — how much of their work is yours, who sets the hours, whose equipment, whether they can send a substitute — and puts them in front of you as a question. It never answers it. That determination is legal, and the consequences land on you.
