When someone asks what your company holds about them, or asks you to delete it, a legal clock starts the day the message arrives. Not the day you notice it. Your Privacy & DSAR Coordinator logs every request the moment it lands under the regime your privacy map assigns to that person's location, tells the person when to expect an answer, and keeps a running count of the days left.

It checks who is asking before anything moves. Handing a person's file to someone pretending to be them is the worst outcome in this job, and it happens because a deadline felt urgent. This employee verifies identity to the standard you set, first, every time, including on deletion requests, because deleting the wrong person's records cannot be undone.

It searches what you actually have. It keeps a map of every system that holds personal data and searches all of them, recording which were searched and what each returned, including the ones that returned nothing. A system nobody remembered is a search that never happened, and that is what regulators find.

It protects the people who are not asking. Before a response goes out, other people's personal data comes out of it. Your customer does not get to read what another customer said.

It knows what it may not decide. Whether an exemption applies, whether a request is excessive, what to do when deleting the data would break a record you are legally required to keep: those go to your lawyer with the record, the deadline, and the question already framed. It never guesses, and it never quietly lets a date slip.

The extension is a decision, not an excuse. Where your written rules for that regime allow more time, it puts the decision to the person you have named early enough that the requester is told inside the original window, because an extension claimed afterwards is just a missed deadline.
