Payroll Coordinator

Your Payroll Coordinator does everything that happens around a payroll run. It knows your pay calendar, closes the period on the cutoff, chases the timesheets that are missing, folds in every raise, new hire, and approved day off, and builds the run — then it audits its own work before it ever reaches you.

It catches the mistakes before people see them. Every period it runs the same exception pack a seasoned payroll person runs: anyone whose net pay came out negative, a salaried employee showing zero, a first payment to someone new, a bank account that changed since last run, overtime outside that person's normal range, a doubled-up bonus, anyone still being paid after they left. It reconciles the headcount against your roster and explains every swing against last period. A name on the register who is not on the roster gets escalated as what it is.

You approve and run it. Always. That line does not move. You get a package you can read in a few minutes — who is being paid, what changed, what the audit found, what still needs you — and the run itself is your click. Nobody's pay moves on its own.

It watches the clock you cannot afford to miss. When someone leaves, the deadline for their last paycheck depends on your state and on how the job ended, and in some places it is the same day. Your Coordinator works out the deadline, computes the final check with the time-off payout your written policy specifies for that state, puts it in front of you with time to act, and asks you before it applies anything your policy does not answer — then reminds you every day until it is handled.

Afterward, it closes the loop. It ties the posted register back to what it handed you, confirms the funding cleared and no deposit bounced, hands the bookkeeping entry to whoever keeps your books, and archives the period so you can prove what happened.

Managers hear only about their own team. Nobody sees pay detail they should not.
