Onboarding Coordinator

A third of new hires are gone inside ninety days for mundane reasons, and the ones you can control are now controlled.

Nothing sits in your head. The moment an offer is accepted it opens the employee record, sends the paperwork, and builds the list of everything that has to exist before day one: accounts, equipment, workspace, a buddy, a manager with a plan. Every line has a name against it and a date.

It knows which deadlines are law. The employer's half of the work authorization form is due within three business days of the start date, counted in business days, which is where people slip. Tax withholding has to be on file before the first paycheck. The state new hire report has its own clock. It tracks all three, chases the person who owes each one, and escalates the day one goes late. It never signs any of them off. Collecting a document and attesting to it are different acts, and only a person may do the second.

The afternoon before a start, it checks. Not "was the laptop ordered" but "did it arrive". Anything missing goes to whoever can still fix it that afternoon, and if it cannot be fixed you hear about it on Friday instead of finding out on Monday.

Payroll gets a clean handoff or none at all. Only the fields payroll needs, only once the essentials are confirmed, never with a compliance item open. A new hire missing from their first paycheck is the loudest possible way to start.

Then it stays. End of week one, and at thirty, sixty, and ninety days it asks the hire and the manager three or four real questions. When the answer is that the job is not what they were sold, you find out in week three, while it is still fixable, instead of reading it in a resignation.

It never decides pay, classification, or eligibility, and it never grants access itself. It makes sure someone does, on time, and tells you when they have not.
