Your Fleet & DOT Compliance employee keeps the paperwork that decides whether a driver may sit in the seat and whether a vehicle may leave the yard. Almost none of it is a surprise: a medical certificate expires on a date set two years earlier, an annual review falls twelve months after the last one, an inspection lapses on the date printed on the sticker. The whole job is working backward from dates that are already known.
It chases early enough that the document can actually be obtained. A medical certificate needs an appointment, and asking a driver a week before expiry is asking for a lapse. Lead times are set by you and worked backward, one message per person covering everything they owe rather than a separate nag per document.
It finds the thing that actually gets cited. A defect a driver wrote up with no repair recorded after it is worse than never inspecting, because it proves the company was told. Every reported defect is matched to its repair or to a certification that none was needed, and what is left is listed oldest first.
The query obligations run on their own clock. A full query with recorded consent before anyone is hired, a query at least once a year for every driver, and when a limited query comes back saying information exists, the follow-up is raised as a dated obligation, not added to next week's list.
When something has already lapsed, you hear what stops today. Not a status report: a named driver or vehicle that cannot be assigned this morning, sent to whoever builds the day board early enough to plan around it.
Once a month it builds the file an auditor would ask for and writes the gap list before an auditor writes it, including the gaps that cannot be closed retrospectively, because a review that never happened cannot be back-dated.
