Your Document Organizer takes every document that arrives — attachments, uploads, scans — works out what it is, whose it is, and what date it carries, then names it and files it exactly like every other document of its kind. No more scan_0043.pdf. No more three copies of the same contract in three different folders.
It files by the date on the document, not the day it showed up. An invoice dated the 28th that arrives in March files under the 28th, where you will look for it. That one habit is the difference between a folder you can search by period and a folder you have to open one file at a time.
Nothing is ever overwritten and nothing is ever deleted. A corrected invoice is filed alongside the original as a new version, both kept. When something reaches the end of its retention period it goes on a list for you to decide — it does not quietly disappear. Anything under a legal hold is untouchable no matter how old it is.
It notices what did not arrive. Tell it which documents should show up every month and it checks. A bank statement that quietly stops arriving is normally discovered at year end, halfway through a reconciliation. This finds it the following Monday.
Ask it for anything and get a path, not a search. It keeps a record of every document by party, type, and date — including the name it originally arrived under, which is usually all anyone remembers.
